Eco Sustainability Policy
How AuthZone Limited reduces environmental impact while delivering secure, modern event technology.
AuthZone Limited Eco Sustainability Policy
Last updated: November 2025
1. Our Commitment
AuthZone Limited recognises that live events can have a significant impact on the environment. We are committed to reducing that impact through the way we design our products, support events, and run our own operations.
We are working towards formal sustainability certification in 2026 and are already taking practical steps to make event operations more responsible today.
This policy sets out how we approach sustainability and how we expect our team, partners, and suppliers to support these goals.
2. Scope
This policy applies to:
- AuthZone software, infrastructure, and related technology services.
- On site delivery of accreditation and access control services for events.
- Our selection and management of suppliers, printers, and logistics partners.
- Our internal business operations, including offices and remote working practices.
3. Guiding Principles
Our sustainability approach is based on the following principles:
- Reduce material use wherever possible.
- Favour digital solutions over physical ones where it is practical and secure.
- Use energy and infrastructure in an efficient way.
- Work with suppliers that can demonstrate responsible practices.
- Support clients who want to run lower impact events.
- Review and improve our approach on a regular basis.
4. Reducing Material Use
4.1 Digital First Credentials
We promote digital passes and wallet based credentials as a primary option for suitable events. Where a digital approach is appropriate and accepted by the organiser, we will:
- Offer mobile and digital credentials as a standard feature in the platform.
- Encourage use of digital passes for staff, crew, and repeat visitors where practical.
- Support secure scanning of digital passes with the same level of control as printed passes.
4.2 Printing and Materials
Where physical credentials are required, we work to minimise waste and use more responsible materials. We aim to:
- Print only the passes that are needed for the event.
- Group print runs to reduce spoilage and last minute reprints where event timelines allow.
- Provide guidance to clients on more sustainable stock and finishes where we influence procurement.
4.3 Recycling and Reuse
We encourage event teams to treat accreditation materials as reusable where appropriate. This includes:
- Encouraging badge and pass recycling stations at events.
- Supporting the reuse of lanyards and accessories across multiple events where practical.
- Offering reusable credentials and long life media options for multi event clients.
5. Energy Use and Infrastructure
AuthZone is a cloud based platform. The way we run our infrastructure and tooling has a direct impact on our energy footprint.
We will:
- Use hosting providers that publish information about their data centre efficiency where possible.
- Power down non production servers when not in use.
- Review infrastructure regularly and retire unused resources.
- Monitor system performance and right size environments to avoid unnecessary over provision.
6. Responsible Supply Chain
Many sustainability gains come from the choices made in our supply chain. We aim to work with partners that can support more responsible event delivery.
When selecting or reviewing suppliers, we will consider whether they:
- Have clear sustainability commitments or certifications.
- Offer eco friendly materials such as recyclable or recycled badge stock where suitable.
- Operate efficient, consolidated logistics and shipping processes.
- Follow fair labour, safety, and ethical standards.
We will give preference, where commercially reasonable, to suppliers who can demonstrate stronger sustainability practices without compromising security or service quality.
7. Travel and On Site Operations
On site support is often essential, but it also creates emissions. We will:
- Plan staffing levels carefully to reduce unnecessary travel.
- Use remote configuration, training, and testing wherever it is effective.
- Work with event organisers to share equipment and reduce duplicate hardware where safe and practical.
- Encourage low impact transport options for our team where they are available.
8. Roles and Responsibilities
Everyone at AuthZone has a role to play in delivering this policy:
- The leadership team sets direction and approves sustainability targets.
- Operational and technical teams implement these principles in day to day work.
- Project teams discuss sustainable options with clients during planning.
- All staff are encouraged to suggest improvements and raise concerns.
9. Working With Clients and Partners
Sustainability outcomes are strongest when we work together. With your consent as an organiser, we will:
- Highlight digital options during planning and onboarding sessions.
- Advise on credential formats that balance security, cost, and environmental impact.
- Share suggestions on how to collect and reuse badges, lanyards, and wristbands where appropriate.
- Support reporting on material usage where system data can help.
We recognise that each event has its own constraints. Our aim is to offer practical choices that fit your security and operational needs while reducing waste where possible.
10. Monitoring and Improvement
Our sustainability approach will develop over time. We will:
- Review this policy at least once per year.
- Track key actions, such as the growth of digital credentials across suitable events.
- Capture feedback from clients and partners on what works in practice.
- Update our internal processes to reflect lessons learned.
11. Certification and Future Plans
AuthZone is working towards formal sustainability certification in 2026. As part of that journey, we will:
- Assess our current practices against recognised standards.
- Identify gaps and create an improvement plan with clear milestones.
- Publish updates to this policy as we reach key steps in that plan.
12. Communication
This Eco Sustainability Policy is available on our website and can be shared with clients, suppliers, and partners on request. We will highlight major changes to this policy through updated documentation and, where relevant, direct communication to key clients.
